Privacy Policy

At Otodesq, we take your privacy and the security of your retail data extremely seriously. This Privacy Policy outlines how we handle the data processed through our desktop application and cloud services.

1. Data Architecture & Multi-Tenancy

Otodesq employs a strict multi-tenant database architecture. Your business data—including inventory, sales history, and customer records—is stored in a completely isolated, logically separated database schema. We never mix your data with other tenants.

2. Offline Data Storage

Because Otodesq is offline-first, a full working copy of your business data — catalogue, sales, customers and staff records — is stored in a local database file on each terminal. That file is not encrypted at rest, so it is protected by the security of the machine it sits on. We recommend enabling your operating system's full-disk encryption (BitLocker on Windows, FileVault on macOS, LUKS on Linux) on every terminal, which is what actually protects the file if a machine is stolen.

If a terminal is lost or stolen, suspend it immediately from any other terminal under Teams → Terminals. A suspended terminal is refused by our servers, so it can no longer sync, reach your cloud data, or be reactivated from the device itself.

3. Payment Processing

Otodesq does not directly process, store, or transmit customer credit card numbers. All omnichannel E-Commerce payments are handled via direct API integrations with third-party payment gateways (e.g., Paystack, OPay) using your own API keys. When a customer makes a purchase on your online storefront, the transaction data is routed directly to the payment provider. We only store the transaction reference ID for reconciliation purposes.

4. Data Archiving & Deletion

You own your data. Our platform includes a built-in Data Archiving tool that allows you to download historical sales data (e.g., prior fiscal years) directly to your local machine as a CSV. When you run an archive wipe, that data is permanently and irreversibly deleted from our cloud servers to free up your storage capacity. We do not retain hidden backups of deleted tenant schemas.

5. Third-Party Sharing

We do not sell, rent, or trade your retail data to third parties. Your inventory levels, customer lists, and sales volumes are your proprietary business information.
